Formalities before departure

After you have successfully passed the selection process, a nomination awaits you. Students are usually nominated by the faculty/rector’s coordinator for a host university and then this university contacts you. It is also necessary to complete several formalities before your departure. They can be divided into 3 steps.

D) Certificate of language knowledge
E) Transcript of Records (ToR)
It will be issued to you in English by your study department officer.
F) Learning Agreement (LA)

It is now available online, you can find out more in the presentation. When filling it out, follow the methodical instructions.

Current courses can be found on the website of the host university. You must have LA signed by the vice-dean for pedagogical activities at your faculty and then by the faculty coordinator at the foreign university. You must always keep LA up to date and report any changes to it. Upload these changes into the mobility application, as well.

Also discuss with the vice-dean directly how your subjects and credits will be recognized upon your return and on the basis of this agreement prepare a Comparison spreadsheet. In the case of bachelor or dissertation thesis, only the ‘bachelor work’ or ‘dissertation work’ is entered in the LA form. Talk to your thesis supervisor and to a coordinator for more information.

LA must be signed by the CTU faculty coordinator at your faculty, the coordinator at the foreign university and also by you. Even if it is a rectorate agreement.

Once you have completed and approved all the forms, apply for a card issuance. In case of a faculty agreement ask the faculty coordinator; in case of an agreement at rectorate level ask the foreign department. After the card is issued, upload all documents directly there.

If you still miss the signature of a foreign university in LA, ask for a card issuance anyway. Unfortunately, sometimes you will not receive the signature before your departure.

Before leaving for a foreign university, you must conclude and PERSONALLY sign a participation contract at the rectorate of CTU, on the basis of which you are then entitled to a scholarship payment.

The contract must be signed 14 days before the start! The participation contract is signed after filling in the mandatory data and uploading the input documents to the student card in the Mobility application. You must fulfill these requirements at least one day before signing it!

Mandatory data

  • Planned start date and end date of the study stay (what is included and what is not can be found below in the Scholarship section)
  • Contact to a close person
  • Bank account number, recommended in EUR (details see below Bank account)

Mandatory documents

  • Learning Agreement confirmed by at least your faculty coordinator
  • Comparison sheet
  • Confirmation of studies for the academic year in which you are going on a study stay

(You can add other data or documents (e.g. Letter of Acceptance or Insurance Confirmation) to the card later).

Scholarship

The scholarship only belongs to you on the days when organized education is physically taking place at the university. Orientation week or a language course organized by a foreign university that immediately follows your first day at the university also counts.

The date you start at a foreign university and the date you end your stay at the university (usually the end of the semester or exam period) is called the period of financial support, and the amount of your scholarship is calculated according to it.

This period must then be confirmed by the foreign university in the Confirmation of Study Period, otherwise you will have to return part of the scholarship. (You do not return only if the actual time of stay at a foreign university does not differ by 5 days in total).

ATTENTION: The scholarship does not apply to days of arrival before the start of classes and also does not apply to days off between the language course and the start of the semester.

The scholarship is paid after the conclusion of the participation contract in full approximately one week before the stated start date of the stay at the university.

Bank account

The bank account to which your scholarship will be paid (that is, listed in the mobility.cvut.cz card and in the Participation Agreement) must be with a Czech bank. The amount of the scholarship is calculated in EUR, so we recommend that you open an account in EUR to avoid loss during conversion. (Revolut is not a Czech bank.)

If you travel green, which means that the main part of your journey is made by train, bus or car share, you can get a one-off €50 contribution.

You must apply for the allowance after you return from your stay (the applicant must document the bulk of the journey, especially the return journey) using this form.

Conditions for granting the allowance from AR 2023/2024 onwards: the sum of the distances travelled to and from the destination is more than 1199 km according to the EC distance calculator(https://erasmus-plus.ec.europa.eu/resources-and-tools/distance-calculator). The application must be supported by tickets or other documents proving the journey. Tickets must correspond to the dates for which you have signed the participation contract. Acceptable means(s) of transport are train, bus and carsharing.

Carsharing is the use of a seat in another person's vehicle to make a trip to or from a mobility destination. For example, a ride-sharing does not include the transportation of a mobility participant by a family member to or from the destination, or the use of taxis or other services of this nature. Co-driving must also be supported by an declaration and confirmation from the passengers.

Example of Green Travel:

Destination Odense, distance according to the EK calculator = 2x 620 km. Train Prague - Berlin, bus Berlin - Odense and return.

Accommodation

Follow the instructions of the host university and send in time the accommodation forms that can be found on its website, or that will be sent to you together with the Letter of Acceptance. At some universities it is necessary to book accommodation well in advance. Some universities (Spain, Italy) do not have dormitories or the accommodation provided by the university is too expensive, so students arrange their own private accommodation. Language courses

Some universities organize language courses before the start of the semester. We recommend you to participate in this event. The language course is reimbursed as part of your grant, but it must be recorded as one of the subjects in LA and the foreign university must provide you a certificate of completion with dates from/to. At the end of the mobility, when submitting the Confirmation of Study Period, the duration of this course must be taken into account in your study period.
